Once you have your new uniforms, you should immediately turn in all your old sizes to be cancelled.
Gallagher Uniform will replace your garment at no charge when the garment’s life has expired. At that time the garment will show signs of becoming faded and thin. Generally, your uniforms should last between three and four years.
When garments are cancelled from your rental uniform program they are inspected for quality. If they are in good quality condition we put them back into our stockroom to be used again in the future. Previously worn garments are issued whenever available.
Simply fill out a Service Request Card that is located in the same area where you drop off your soiled garments. Please be sure to list the Bar Code Serial Number of the garments that need repair. Place the Service Request Card in the card holder that says “Pick-Up” and turn your garments into the soil bin.
Your rental uniform program has been designed with clear terms on what stained garments can be replaced and when. The age of the garment and the degree of the stain will be the determining factors. Generally, we try not to replace any garment if it results in a damage charge to your company. If a garment is damaged beyond repair it will be replaced. Depending on the age of the garment there is a possible damage charge, so please take care to protect your garments.
There are a couple ways you can handle this:
- Review your Garment Listing Report on G-Trak to see if all your bar-coded garments are cycling through as they should.
- Call your Customer Service Representative to have them help locate your garment or replace a garment that is lost.
- Talk to your Route Service Representative when they make your uniform delivery.
If for some reason you do not receive your uniform(s) on the scheduled delivery, please check the following before calling your Customer Service Representative:
- Did you turn in your soiled uniforms on-time? If not, your garments are most likely still in the soil bin and will be picked up during our next delivery.
- Did you check the entire delivery bar? Perhaps they were re-arranged on the bar in error.
- Did someone take your uniform by mistake?
- Did you turn in all of your soiled garments or did you leave some at home?
If you miss the uniform pick up you can drop them off at Gallagher Uniform the same day, or you can wash your uniforms at home that week. If you drop your soil off at Gallagher Uniform after the delivery day we will do everything we can to return them on the next scheduled delivery, however this is not guaranteed.
Gallagher Uniform offers a seasonal shirt program. Please contact your Gallagher Customer Service Representative to find out more about this program.
Our typical rental program gives you the choice of all long sleeves, all short sleeves, or a 50/50 split of both sleeves. Once you have made your choice of sleeves at the start of service, you may not change without incurring a size-change charge. We find most associates choose to go with all short sleeves so they are cooler in the summer and in winter they wear extra garments underneath the uniform shirt.
The garment manufacturing industry uses certain tolerances in their production process. By the very nature of sewing flexible material together they have established small variances in fit for same sized garments. You have probably found this to be the case when you try on different pants or jeans at a retail store. Therefore it is possible that you may find one garment that just doesn’t fit the same. If this occurs, Gallagher Uniform will gladly replace it for you. Just give the Bar Code Serial Number of the garment that’s doesn’t fit to your Customer Service Rep and it will be replaced immediately.
When an employee is terminated or quits, please provide your Customer Service Representative with the employee’s name so we can immediately cancel their uniforms. Rental charges will be stopped immediately. You will have three weeks to turn in the cancelled uniforms, after three weeks Gallagher will invoice for loss charges for any unreturned garments. Please remember, Gallagher Uniform provides exact and timely bar code information each week on our G-Trak Cancel Report to always keep you informed of what garments need to be returned.
When an employee switches locations or departments you should contact your Customer Service Representative and notify them of this change. Your CSR will make sure that the garments get transferred and relabeled to the correct delivery location by the next delivery.
Uniform charges are in effect 52 weeks a year. We do not hold uniforms while employees are on vacation. We will deliver the employee’s uniforms as scheduled and leave them on the delivery bar so when the employee returns their uniforms will be waiting for them.
If you want your company logo on your emblem all we need is a crisp, clean copy of your logo. We can use a logo from a business card, letterhead or even a company brochure as long as the logo is a decent size. If you are simply using text on your company emblem, all that we need to know is if you want Block or a Script font and what color.
A damage charge is a cost charged to your company for any garment that has been taken out of service (by way of cancellation, size change, or replacement) that has excessive damage and has not met its minimal standard of time in service.
A loss charge is a cost charged to your company for a cancelled garment that has not been returned to Gallagher Uniform. Most loss charges occur when an employee leaves a company and their uniforms don’t get turned back in to Gallagher Uniform. The second leading source for loss charges is from an employee not turning in their old sizes after they have received new sizes. Please remember, Gallagher Uniform provides exact and timely bar code information each week on our G-Trak Cancel Report to always keep you informed of what garments need to be returned.
